# Claude vs ChatGPT vs Gemini: Gmail Access Compared *Comparison — 2026-11-08 — by Mahmoud Zalt* What each AI can actually do once it reaches your Gmail: how access is granted, read versus send, whether a copy is kept, and how to revoke it. **Short answer.** **All three can read and search your Gmail, and that is where the similarity ends.** Claude connects through a Google sign-in and works in drafts. ChatGPT connects the same way but may build an indexed copy of your mail. Gemini needs no connection at all because Google built it into Gmail, gated by your plan. None of the three works your inbox while you are away. **About this comparison.** Every claim here comes from Anthropic's, OpenAI's, Microsoft's and Google's own documentation, checked on 17 August 2026. We are not affiliated with any of them. Connector features, plan tiers and regional availability change quickly, and vendor pages sometimes disagree with each other, so verify anything you are about to depend on. People compare these three on how clever the writing is. That is the wrong axis once a mailbox is involved. What separates them is how the access is granted, what is kept afterwards, and whether you can get it all back with one click. Those three questions decide whether you can use it at work. There is also a fourth question that no vendor page answers, because it is not a feature they are selling. When does the work happen? All three of these are things you open. If the value only appears when you show up, then the busiest weeks, which are the weeks you needed help, are exactly the weeks you get none. ## What can Claude do with Gmail? Search and read your mail in plain language, draft replies into your Gmail account, list saved drafts, and work with labels and metadata. Anthropic's help centre describes exactly that set, and adds that Claude retrieves the minimum information needed and gives citations back to the original emails. Sending is the part that is genuinely unclear, and it is worth knowing rather than guessing. Anthropic's Gmail connector page describes drafting, replying, forwarding and sending, with Claude asking for your approval by default before anything goes out. Its Google Workspace connectors help article describes reading and drafting and states the send function is not enabled. Check your own account instead of trusting either page. - **How access is granted. **A Google sign-in from Claude's connector settings. On Team and Enterprise plans an Owner or Primary Owner has to enable the connectors for the organisation first. - **Best for. **Working through a specific thread carefully, where you want the source messages cited back to you. - **How to take it back. **Anthropic documents Customize, then Connectors, then selecting the Google connector and clicking Disconnect. You can also remove it from your Google account's connections page. ## What can ChatGPT do with Gmail? Read and search your mail, and pull it into a conversation without you selecting it each time. OpenAI's help centre describes Gmail, Google Calendar and Google Contacts as apps you enable in Settings, and says ChatGPT will automatically reference them when relevant once enabled. The behaviour that sets it apart is storage. OpenAI documents that connecting a Google app may create an indexed copy and sync the content, that with Memory enabled the synced content may be used to personalise ChatGPT, and that when you disconnect the app the indexed copy is deleted within 30 days. That is a meaningfully different arrangement from fetching a message when you ask about it. - **How access is granted. **Settings, then the connectors or apps area, then Connect on Gmail and a Google sign-in. Connected apps are a paid-plan feature. - **The catch nobody expects. **Connectors have not been available in the EEA, the United Kingdom or Switzerland, which is why many European users on paid plans cannot find the option at all. - **Best for. **Broad questions across a lot of mail, where a pre-built index makes the answer fast. - **How to take it back. **Disconnect in Settings, then revoke on your Google account's connections page, and note the 30 day deletion window for the indexed copy. If you handle client data, this single difference is likely to decide your choice for you. Answering a client's question about where their emails are processed is easy when the answer is that nothing is stored, and considerably longer when a copy exists with a deletion timeline attached to it. ## What can Gemini do with Gmail? Summarise threads, draft and polish messages, and answer questions about your mail and calendar, all without any connection step. Google built it in, so eligibility comes from your plan. Google's Gmail Help says you need an eligible Google Workspace or Google AI plan, and that on a computer you click Ask Gemini at the top right. The trade for that convenience is that you are inside Google's product decisions. Google documents that Gemini in Gmail can only create events on your primary calendar and only report on events on your primary calendar. It also notes that some capabilities are for work accounts only and enabled by the organisation, and that some subscribers in the United States may no longer see the Ask Gemini feature while Help me write remains. - **How access is granted. **It is not. The features appear in Gmail when your plan and your organisation allow them. - **Best for. **People who live in Gmail and want summarising and drafting exactly where they already are. - **How to take it back. **There is no third-party grant to revoke, because there is no third party. That is a genuine simplification, and it also means there is no separate switch. | Question | Claude | ChatGPT | Gemini | |---|---|---|---| | How does it get in? | Google sign-in from connector settings | Google sign-in from Settings, paid plans | Built in, gated by your plan | | Is a copy of my mail kept? | Documented as retrieving the minimum needed, with citations | May create an indexed copy and sync content, deleted within 30 days of disconnecting | Inside Google, no third-party app involved | | Can it send? | Vendor pages disagree, check your account, approval by default where sending exists | Reading and searching documented, sending reported by third parties, verify yourself | Drafts and polish in the compose window, you press send | | Does it work while I am away? | No | No | No | That last row is identical on purpose. It is the honest headline of this comparison, and it is the row that vendor pages never put in their tables, because it is a property of the whole category rather than a weakness of any one product. ## Which one should you pick? Pick on constraints before capability, because the constraints will pick for you anyway. If you are in the EEA, the United Kingdom or Switzerland, one option may not be offered to you. If you already pay for Google Workspace, one option costs nothing extra. If you handle client data under contract, the storage question outranks everything else. - **Already on Workspace and mostly want summaries and drafting. **Use what is already in Gmail and stop shopping. - **Want the AI to cite the exact emails it used. **Claude's connector is documented around minimum retrieval and citations back to the source messages. - **Want fast answers across a large mail history. **An indexed connector is built for that, as long as the stored copy is acceptable to you and your clients. - **Want the mailbox handled rather than searched. **None of the three does this, and no amount of prompting changes it. That last line is the reason a fourth option exists, and we should be upfront that it is ours. [Sistava](/personal-ai-assistance) connects to the same Gmail account through the same kind of Google sign-in, but what sits on the other side is an AI Employee with a job description rather than a chat window waiting for you. The practical difference is that you write the instruction once instead of every time. What to flag, what to draft, what to never touch without you, and when to check. Then triage happens on Monday whether or not you opened anything, and you get a short account of what was done and what was deliberately left alone. It is not a better chat. It is a different job. The pieces you would recognise are the same: scoped access through Google, an approval step before anything is sent, and a record you can read afterwards. What changes is that the work exists without you starting it. The full list of what one can be given is on the [Sistava](/features) features page. ## What none of these will do None of them will make an unreliable process reliable. If your follow-ups slip because nobody decided who owns them, adding mailbox access to a chat tool changes nothing structural. It makes the moments you do spend on email better, which is worth having and is not the same as the problem being solved. None of them removes your judgement from the loop either, and you should not want them to. Approval before sending is the feature, not the friction. The moment an assistant sends without you seeing it, you have handed your reputation to a system that cannot be embarrassed. And none of them are free once you are serious, including ours. Google's features ride on a paid plan, connected apps need a paid tier, and you can see what an AI Employee costs on the [Sistava](/pricing) pricing page before you connect a mailbox to anything. ## FAQ ### Which AI has the best Gmail integration? It depends on your constraint rather than on quality. Gemini is the least effort if you already pay for Google Workspace, because there is nothing to connect. Claude's connector is documented around minimum retrieval and citing the emails it used. ChatGPT can build an indexed copy for fast broad search, which is a strength for research and a complication for client data. ### Do any of them keep a copy of my emails? OpenAI documents that connecting a Google app may create an indexed copy and sync the content, and that the copy is deleted within 30 days of disconnecting. Anthropic describes retrieving the minimum information needed to answer your question with citations back to the original emails. Gemini in Gmail is inside Google, so there is no third-party app holding anything. ### Why can I connect Gmail to one AI but not another? Plan, region and administrator, in that order. Connected apps are paid-plan features, they have not been offered in every region, and on work accounts an Owner, Primary Owner or Workspace administrator often has to enable them first. None of those produce a clear error message, which is why the option simply looks absent. ### Can any of them reply to emails without me? Not as a chat connector. All three act when you prompt them in a conversation, so nothing happens between your visits. Automatic triage, drafting and follow-ups need a tool built to run on a schedule with standing instructions and an approval step, which is a different product category. ### Is it safe to give an AI access to my Gmail? The mechanism is sound, since Google no longer supports apps that ask for your username and password and Workspace accounts have required OAuth since 1 May 2025. The risk is what you approve and what is kept. Read the permission screen, prefer read and draft over send, and remember Google's own note that revoking access stops future access but you may need to ask a developer to delete data they already hold. ### How do I check what already has access to my mailbox? Open the page in your Google account that lists third-party apps with access. Everything you have ever authorised is there, including tools you stopped using years ago. Removing access takes one click per app and is worth doing before you add a new one. If the mailbox is only half of it, and Slack or another channel carries the rest of your day, it is worth seeing how the same access model works when more than one place is involved. The pattern holds, and the payoff gets bigger. The comparison people should be running is not Claude against ChatGPT against Gemini. All three are good, all three will read your mail sensibly, and you will be happy with whichever you pick for the twenty minutes you spend inside it. The comparison that changes your week is between opening a tool and having the work already done. That one has a clear answer, and it does not depend on which model writes the nicest paragraph. Run it against your own last fortnight: count the replies that went out late, and ask which of these would have caught a single one of them while you were busy with something else. ## Sources - [Claude Help Center, ](https://support.claude.com/en/articles/10166901-use-google-workspace-connectors)Use Google Workspace connectors - [Claude by Anthropic, ](https://claude.com/connectors/gmail)Gmail Connector - [OpenAI Help Center, ](https://help.openai.com/en/articles/11487775-connectors-in-chatgpt)Apps in ChatGPT - [OpenAI Help Center, ](https://help.openai.com/en/articles/10408842-google-app-for-chatgpt-data-controls-faq)Google App for ChatGPT, Data Controls FAQ - [Gmail Help, ](https://support.google.com/mail/answer/14355636)Collaborate with Gemini in Gmail - [Google Account Help, ](https://support.google.com/accounts/answer/3466521)Third-party apps and services with access to your account **Tags:** gmail, claude, chatgpt, gemini, connectors, email-automation
