What is Task Inventory?

Also called work inventory, task audit.

A task inventory is a written list of the discrete units of work a team performs, usually recorded with frequency, duration, inputs, and owner. It is compiled before deciding what to delegate to AI agents, so that choices rest on observed volume rather than impression. The exercise routinely surfaces recurring work nobody had named.

Compilation methods vary. Some teams log everything for two weeks, some reconstruct from calendars and ticket systems, and some interview each role. Logging is the most accurate and the most disruptive. Reconstruction is fast but systematically misses work that leaves no digital trace, which is often exactly the invisible coordination work that consumes the most time.

The useful columns are frequency, typical duration, what triggers the task, what it produces, and who currently does it. Multiplying frequency by duration gives an annual hours figure per task, which almost always reorders the list against intuition. Small tasks done many times a day routinely outweigh the large quarterly tasks that feel more significant.

The inventory is a scoping tool, not a scoring tool. It says what work exists and how much of it there is. It does not say what should be delegated, which depends on how well specified the task is, how expensive a mistake would be, and whether the judgment involved can be written down at all.

For solo operators and very small teams the inventory has a second effect. Work that has never been written down cannot be handed to anyone, software or human. Producing the list is the precondition for ever reducing personal load, which is why practitioners often describe it as valuable independently of whether any automation follows.
