Manage Your Workspaces
Use Organizations in Settings to manage the people and workspaces behind your AI workforce.
TL;DR
Organizations is where you manage isolated workspaces. Each workspace has its own AI workforce, billing, collaborators, and settings. Check seat and workspace availability before inviting people or creating another workspace.
Organizations, Workspaces, and Company
Organizations. The Settings category for collaborators, roles, shared access, and workspace administration.
Workspace. One isolated place to run an AI workforce. It has its own people, teams, employees, work, memory, billing, and settings.
Company. The AI workforce inside the active workspace: its teams, employees, and work.
Workspace Boundaries
Each workspace is fully isolated from every other. This means:
| What Is Separated | Details |
|---|---|
| AI Employees | Employees hired in one workspace do not exist in another. |
| Conversations | Chat history is private to each workspace. |
| Training data | Knowledge trained in one workspace is not accessible from another. |
| Billing | Each workspace has its own subscription, credits, and payment methods. |
| Collaborators | Each workspace has its own member list, roles, and access choices. |
| Settings | Policies, models, and configurations are per-workspace. |
By default, nothing crosses a workspace boundary. You can deliberately share a supported Drive file or document, CRM contact, Content item, task, Project, Sprint, or calendar meeting with a signed-in Sistava account, including one that belongs to another workspace. Compatible files, documents, and CRM contacts can be accepted as a private copy in a chosen workspace; sharing never makes the recipient a collaborator or reveals other source-workspace data.
Manage Collaborators
Open Settings > Organizations > Members to manage the active workspace. The page shows its collaborators and seat availability. Your plan sets how many collaborators you can invite, and invitations stop when the workspace is full.
Invite Collaborators
- Open Settings > Organizations > Members.
- Enter the collaborator's email address.
- Choose their role and click Send Invite.
- Track pending invitations, then resend or cancel them when needed.
Roles and Access
| Role | Use workspace | Manage collaborators | Manage resource access | Billing and workspace control |
|---|---|---|---|---|
| Owner | Yes | Yes | Yes | Yes |
| Admin | Yes | Yes, except Owners | Yes | No |
| Collaborator | Workspace-visible resources and direct shares | No | No | No |
- Owner. Full control over collaborators, billing, workspace settings, and destructive actions. A workspace must always retain at least one Owner.
- Admin. Can invite Collaborators, remove or demote non-Owners, and manage supported resource access. Admins cannot grant Owner or Admin access, manage billing, edit workspace settings, or delete the workspace.
- Collaborator. Can use ordinary workspace routes and open workspace-visible supported resources plus direct Resource Access shares. Collaborators cannot manage the roster, invitations, another person's access, billing, workspace settings, or deletion.
Owners can open Actions -> Customize access for a non-owner collaborator. Those overrides can grant or revoke team visibility, invitations, non-Owner member management, and resource sharing without changing the person's role.
Open Settings > Organizations > Roles to see your own effective access, the full permission matrix, and a Request access review button that notifies the Owner when you need more than your role currently grants.
Work Together in Context
Collaborators can work on shared workspace resources within their role and access grants. Use comment threads and @mentions to keep reviews, requests, and employee follow-up attached to the relevant task, file, sprint, CRM contact, or notification.
Joining a workspace does not grant unrestricted access to every item. Resource Access currently controls individual Drive files, Drive documents, CRM contacts, Content items, tasks, Projects, Sprints, and calendar meetings. Chat uploads, training inputs that are not tracked Drive files, email templates, and posts do not yet have their own per-item sharing control.
Create and Switch Workspaces
Switch Workspaces
If you belong to more than one workspace:
- Open Settings > Organizations > Workspaces.
- Select the workspace you want to use.
- Continue with that workspace's employees, billing, settings, and data.
Your account email and login stay the same. Only the active workspace changes.
Create a Workspace
- Open Settings > Organizations > Workspaces.
- Choose Create workspace and name it.
- Set up the workspace's billing and collaborators when needed.
Each workspace starts fresh with its own subscription and an empty AI workforce. Your plan decides how many additional workspaces you can create.
Common reasons to create another workspace include separate businesses, client isolation, testing, and departments that need their own billing or collaborators.
Update or Delete a Workspace
Open Settings > Organizations > Details to rename the active workspace. The same page shows a Delete workspace section listing its member and employee counts. Deleting a workspace permanently removes its AI employees, conversations, files, and settings, so cancel its subscription first and confirm the workspace name carefully.
Selectively Share Resources
Use Drive, CRM, Content, the Tasks drawer, Manage projects, Sprints, or a meeting card in Calendar to share a supported item with an existing Sistava account. Choose whether access is workspace-wide, restricted to named people, or a direct share. A direct share to another workspace gives the recipient a protected offer for that item only. Compatible files, documents, and CRM contacts can be accepted as a private copy in one selected workspace; revoking the source share does not delete a copy they already accepted.
Read Control Access & Share Resources for roles, revocation, and the exact sharing flow.

Your Account and Sign-In
These settings belong to you as a person, not to any one workspace. Open them from the profile icon in the top-right corner, then Profile.
| What | Where | Details |
|---|---|---|
| Profile picture | Profile > profile picture | Upload or change your own avatar. |
| Sign-in method | Sign-in page and Profile | Sign in with email and password, or with Continue with Google or Continue with Microsoft. Profile shows a badge for the provider you signed up with; an OAuth-only account has no password to change until you set one with Forgot password. |
| Two-factor authentication | Profile > Two-factor Authentication | Add a TOTP authenticator app as a second sign-in step. Recommended once your employees handle real production work. |
Your sign-in method and 2FA apply to your account across every workspace you belong to.
Good to Know
- A person can belong to multiple workspaces with a different role in each one.
- Workspace seats and additional-workspace limits are set by the active plan.
- Switching workspaces never blends employees, conversations, training data, billing, or settings.
- Sharing a supported resource never grants access to the rest of its source workspace.
Frequently Asked Questions
Q: Can I rename a workspace? A: Yes. Open Settings > Organizations > Details and change the active workspace's name.
Q: How many workspaces can I have? A: Your plan sets the number of additional workspaces you can create. Each workspace has separate billing and its own plan.
Q: Can someone belong to multiple workspaces? A: Yes. The same person can be a collaborator in several workspaces with different roles and access in each one.
Q: Is data shared between workspaces? A: No. You can selectively share a supported resource, and a compatible Drive item, Drive document, or CRM contact can be accepted as a private copy in a chosen workspace. All other data remains separate.
Q: What happens when I switch workspaces? A: You see a different set of employees, collaborators, billing, and settings while keeping the same login.
Q: Where do I turn on two-factor authentication or change my sign-in method? A: Open Profile from the top-right profile icon. Two-factor authentication and your profile picture are there; your sign-in provider (email, Google, or Microsoft) is set at sign-up and shown on that page.
