Manage Your Profile

Your Profile is the account control center for the details that follow you across every Sistava workspace. It keeps your identity, sign-in security, personal preferences, data requests, and account history in one place.

TL;DR

Profile manages the account details that travel with you across workspaces: email identities, security, preferences, availability, data requests, and history. Workspace roles, billing, and collaborators stay in workspace Settings. Verify an added email before making it primary.

What Profile Controls

Open Profile from the profile icon in the top-right corner. These controls belong to your account, rather than one workspace.

Area What you can do
Email Add, verify, remove, and choose the primary address for your account.
Personal info Update your name, how your AI team addresses you, working schedule, time zone, contact hours, and reply-style preference.
Sign-in security Change your password when you use email sign-in and set up two-factor authentication.
Workspace overview See your role in the current workspace and open any workspace you belong to in its Settings.
Subscription and data Open billing, request an export, or ask to close your account and data.
Change history Review changes to your profile details, including eligible changes made through your employee.

Manage Your Email Addresses

Your primary email is where Sistava sends account messages and the address used for email sign-in. You can keep additional verified personal or work addresses on your profile, then switch the primary address when your needs change.

  1. Open Profile > Email addresses.
  2. Add an address you control.
  3. Open the verification message sent to that inbox and confirm it.
  4. Select Make primary beside a verified address when you want to use it as your primary account address.
  5. Remove an address only after another verified address is primary.

Verification proves you can receive mail at that address. It does not turn a direct email to an employee into an internal workspace request. Employee mail treats a bare sender address as an external contact, even when that address appears on a member's profile. Use signed-in web chat or an authenticated connection for work that needs workspace knowledge, tools, or actions.

Keep Your Account Secure

Change your password

If you sign in with email and password, enter your old password and a new, unique password in Profile > Change password. Accounts that only use Google or Microsoft sign-in do not need an app password until one is set through the password recovery flow.

Turn on two-factor authentication

In Profile > Two-factor Authentication, select Set up 2FA and scan the QR code with an authenticator app. Enter the code it shows to finish setup. This adds a second check when you sign in and is strongly recommended before your workforce handles important business work.

Manage Workspaces, Roles, and Access

Your Profile shows your current role and every workspace your account belongs to. Select a workspace to open its Settings, where Owners and Admins manage collaborators, roles, seats, resource sharing, and workspace-level policies.

Your role can be different in each workspace. Adding an email address or making it primary does not change your role, let you bypass resource permissions, or grant access to another workspace.

Billing, Data, and History

Use Manage subscription in Profile to open the billing controls for the active workspace. Account data requests are handled separately: select Export all my data to request a copy, or Delete my account and data to start an account-closure request. Sistava confirms these requests by email before completing them.

Frequently Asked Questions

Q: Can I use a personal and a work email on one account? A: Yes. Add each address in Profile, verify it from that inbox, and choose either verified address as primary whenever needed.

Q: Does changing my primary email change my workspace permissions? A: No. Roles, resource access, and workspace membership stay exactly the same. The change only updates your account identity and where account email is delivered.

Q: Can I email an employee from my verified personal address to do internal work? A: Not yet. A direct employee mailbox message is an external conversation, even from a verified profile address. Use signed-in web chat or an authenticated connection for internal work.

Q: Where can I see who changed my profile? A: Open Profile > Change history. It records the actor and time for recorded profile changes.
