Join a Live Meeting
Drop an employee into a call that is happening right now. Paste the meeting link, and the employee joins as a participant, listens, transcribes, answers when you address it, and writes a summary when the call ends. One backend covers Google Meet, Zoom, and Microsoft Teams.
TL;DR
Paste a Google Meet, Zoom, or Teams link and the employee joins that live call as a participant. It transcribes, speaks when addressed, and summarizes afterward. Turn on the employee's Meeting Attender tool first, that tool is what runs the join.
How It Works
Live Meeting is the on-demand way to get an employee into a call. You give it a meeting URL, the platform picks the right driver for Meet, Zoom, or Teams, and the employee joins as a named participant. Everything the employee hears and says runs through the Meeting Attender tool.
- One backend, three platforms. Paste any Meet, Zoom, or Teams URL and the right driver is chosen automatically.
- A real participant. The employee shows up in the call, transcribes it, and speaks when you address it directly.
- Summary after. When the call ends, the transcript and a summary land in the employee's memory and Drive.
- Now, not scheduled. This is for a call you want to join immediately. To have an employee show up to a scheduled event on its own, use the Calendar channel.
What You Can Do
| Action | How it works |
|---|---|
| Invite from the Communications page | On the Live Meeting panel, pick an employee and press Invite, then paste the meeting URL. |
| Invite from a chat | Paste a meeting URL into any chat with the employee and it joins that call. |
| Invite from the profile | Use Invite to meeting on the employee's profile. |
| Get notes and answers | The employee transcribes, answers when addressed by name, and summarizes at the end. |
How to Set It Up
Two switches make Live Meeting work:
1. Enable the channel
Open Settings, Communications, find Live Meeting, and turn it on. Until the channel is on, the Invite button cannot dispatch.
2. Turn on the Meeting Attender tool for the employee
This channel runs through the Meeting Attender tool. Open the employee's Tools tab and enable it. Without it, the invite has nothing to join with.
3. Invite the employee to a call
Pick the employee and paste the meeting URL, from the Live Meeting panel, from a chat, or from the employee's profile. It joins as a participant and starts the meeting flow.
For everything the employee can do inside a call, see the Join Live Meetings guide.
Tips and Tricks
- Paste the URL anywhere. The fastest path is often to paste the meeting link straight into chat, no need to open the Communications page.
- Address it by name. In the call, speak to the employee by name when you want it to answer, otherwise it listens and takes notes.
- Scheduled instead of live? Invite the employee's address to the calendar event and it shows up on its own. See the Calendar guide.
What It Costs
| Cost | What it covers |
|---|---|
| Token credits | Same as web chat. Billed per call the employee makes during the meeting. |
| Runtime credits | 1 credit per minute the employee spends in the meeting. |
You pay only for the time the employee is in the call and the work it does.
Is It Safe
- You start every join. The employee only joins a call when you give it a URL. It never dials into anything on its own.
- Per-employee, per-workspace. Each employee is bound to one workspace, so a meeting join never crosses to another customer.
- Channel gate. The Live Meeting toggle is the master switch. Turn it off and no employee can be invited to a call.
Good to Know
- The Meeting Attender tool is required. Enable it on the employee, or the invite cannot dispatch.
- Enable the channel first. The Invite button stays disabled until the Live Meeting channel is on.
- Live vs scheduled. Live Meeting is for a call happening now. Calendar is for showing up to a scheduled event automatically.
Frequently Asked Questions
Q: How do I get an employee into a call that is happening now? A: Enable the Live Meeting channel and the employee's Meeting Attender tool, then paste the meeting URL from the Communications panel, a chat, or the employee's profile.
Q: Which meeting platforms are supported? A: Google Meet, Zoom, and Microsoft Teams. Paste any of their links and the right driver is chosen automatically.
Q: Why is the Invite button greyed out? A: The Live Meeting channel is off. Turn it on under Settings, Communications, then the button dispatches. Also confirm the employee's Meeting Attender tool is enabled.
Q: How is this different from the Calendar channel? A: Live Meeting joins a call you hand it right now. Calendar has the employee accept a scheduled invite and auto-join when that event starts.
