Access Their Drive & Files

The Drive is your employee's file cabinet. Everything they produce, from written reports to generated images and daily work logs, is saved here for you to review, with a complete version history when work changes.

TL;DR

Every file an employee creates or receives lands in its Drive, organized into six groups: Work files, Images, Videos, Screenshots, Uploads, and Internal. Browse it per employee, per team, or company-wide, as a flat searchable grid or as folders. Nothing to set up, it is on by default the moment an employee starts working.

How It Works

Everything Gets Saved Automatically

You never ask an employee to save something. Whenever it writes a document, generates an image or video, or takes a screenshot while working, that file appears in its Drive on its own.

The Six Groups

Files are grouped by where they came from, not by file format. A PDF report and a Markdown note the employee wrote are both Work files.

Group What is inside Produced by
Work files Documents, reports, drafts, and generated exports (PDF, DOCX, XLSX) The employee writing or exporting a document
Images Generated pictures The image generator
Videos Generated video The video generator
Screenshots Captures taken while working Browser or desktop automation
Uploads Files people put in: Chat (attached in a conversation) and Knowledge (uploaded for training) You
Internal Notebook (the employee's one persistent note), Work logs (daily journal), and Private notes The employee's own memory and journaling

Two Ways to Browse

Mode What it shows
Files (default) A flat, searchable, sortable grid of every file, grouped into the six sections above. A format bar lets you filter by file type
Folders A tree view that mirrors how the employee organized its own work, with the same six groups at the top level

When an employee mentions a file in chat, click the link to jump straight to it. The file opens in the same side panel the Drive tab uses.

Where to Find It

Level What you see How to get there
Employee One employee's files Workspace, select an employee, click Drive
Team All team members' files, grouped by employee Workspace, select a team, click Drive
Company Everyone's files across the whole workforce Workspace, click Organization, click Drive

Team and company Drive are read views. Opening a file there shows the exact same document the owning employee has in its own Drive, nothing is copied or moved.

Share a file Click Share to copy an in-app link any teammate with access can open

Export everything Download the whole Drive (or a scope of it) as a zip

How to Set It Up

Nothing to do. The Drive is built in. Every file an employee creates or receives is saved and organized automatically from the moment it starts working.

Version History

Drive keeps one stable file for each piece of work. When an employee updates a report, presentation, spreadsheet, PDF, image, video, or uploaded file, it saves a new numbered version instead of creating a confusing duplicate.

Open the file and use Versions below the preview to see the complete timeline. Each version shows who made the change, when it happened, and why. Preview any earlier version before you decide whether to restore it.

Restoring does not erase the timeline. Sistava creates a new current version from the version you selected, so you can move back and forth between ideas while keeping every previous state available.

Tips & Tricks

Good to Know

File Formats the Drive Can Preview

The Drive renders most files inline so you rarely need to download something just to read it.

Category Extensions How it renders
Documents .txt .md .markdown .mdx .rst .doc .docx .rtf .odt Formatted text or a rendered page
Data .json .jsonl .ndjson .xml Interactive tree
Config .yaml .yml .toml .ini .cfg .conf .env .properties .tf .tfvars Syntax-colored code
Spreadsheets .xlsx .csv .tsv Scrollable, per-sheet table
Web / code .html .htm .css .scss .graphql .gql .sql .py .js .ts .jsx .tsx .sh .bash .go .rs .java .php .swift .kt .r .ipynb Syntax-colored code
Logs .log Plain text
Images .png .jpg .jpeg .gif .webp .svg Rendered inline
Video .mp4 .webm .mov .m4v Played inline
PDF .pdf Rendered inline

Any other format opens as a plain text preview if it is text-based, or offers a download button if it is binary.

Frequently Asked Questions

Q: Can I edit files in the Drive? A: Only plain text and Markdown files (.txt, .md, .markdown, .mdx), including Work log entries. Click into the file and type; it saves when you click away. Everything else, including generated images, PDFs, and spreadsheets, is read-only.

Q: Can I see or restore an earlier version of a file? A: Yes. Open the file and select Versions below the preview. You can preview any previous version, see who made the change and when, then restore the version you want. Restoring creates a new current version and keeps the full history.

Q: Can I delete a file from the Drive? A: No. The employee owns its own filesystem, and there is no delete option in the Drive UI.

Q: Are files shared between employees? A: Each employee has its own Drive. Team and company Drive give you a combined view, but files are not merged or shared between employees there.

Q: Is there a storage limit? A: Yes, it depends on your plan: 2 GB on Free up to 100 GB on Founder tier, unlimited on custom plans. Chat uploads also have a separate monthly count limit.

Q: Can I upload files to the Drive? A: You share files with an employee through chat (drag and drop or attach), and they appear under Uploads / Chat. Files uploaded for training appear under Uploads / Knowledge.

Q: Where do generated images and videos go? A: Generated pictures go to the Images group and generated video to the Videos group. Screenshots taken during browser or desktop automation go to Screenshots.
