AI Operations Employee: Build a Daily Business Handoff
How-to — — by Mahmoud Zalt
Use an AI operations employee to prepare a daily handoff of open work, missing information and decisions for a small business.
When customer requests, project updates and follow ups live in different places, a small team can lose time simply finding out what needs attention. A daily handoff makes that work visible before the day gets crowded.
Choose a narrow operating area
Start with one area such as customer onboarding or project delivery. Identify the systems that hold the current status and the person who can resolve exceptions. Agree on the cutoff time for the report and which information is safe to include.
A small agency might track active client deliverables in a project board and receive questions by email. Its daily handoff could list work due soon, missing client inputs and decisions the account owner needs to make. It should not treat an old message as a current commitment without checking the latest status.
Define the handoff format
For every item, ask for the customer or project, current state, evidence, next action, owner and due date when known. Separate facts retrieved from a source from suggestions made by the employee. Unknown dates and owners should be labeled as unknown.
Keep the list short enough to use. Group items that require a decision separately from items that only need monitoring. A task with no named owner is itself an exception to resolve, not a finished handoff.
Decide what actions stay with people
A daily report can identify a late approval without sending a message to the customer. If you later allow drafting or updates, specify the permitted action and the review required. Changes to a deadline, customer commitment or payment instruction deserve explicit human ownership.
Check whether the connected tools expose the information and permissions you need. If a source is unavailable, the report should say which area could not be checked. A blank list is meaningful only when the relevant source was actually inspected.
Measure whether it reduces coordination work
Compare a week of handoffs with your usual process. Note missed items, incorrect status, time spent checking source material and whether decisions reached the right person. Review representative examples rather than counting only the number of items summarized.
Sistava provides AI Employees for business roles, shared context and connected tools. Start with a single daily operations brief, provide the approved sources, and check the result with the person who owns delivery. Expand the scope only when the handoff is useful and reliable for your team.
A sample handoff
For each active client project, list the next deliverable, owner, due date and any input we are waiting for. Use the approved project board and the latest customer notes. Separate overdue work from work that has no due date. Flag missing sources and do not change any project record.
The owner can review this each morning and decide which item needs a conversation. If the board and an email disagree about a deadline, the brief should show both sources and ask the owner to confirm the current date.
