Connect Gmail to ChatGPT: Setup, Limits, and Privacy
How-to — — by Mahmoud Zalt
Connect Gmail to ChatGPT from Settings, learn which plans and regions get it, what it can read or send, and what the indexed copy really means.
The setup is one screen. The reason people search for it twice is that the option often is not there, and nothing on screen explains why. Before you go hunting through menus, it is worth knowing the three things that hide it, because two of them have nothing to do with you doing something wrong.
Your plan is the first. Your region is the second, and it is the one nobody expects. The third is a work account where an administrator has not allowed the app. None of those produce a helpful error message, so people assume they are looking in the wrong place when they are not.
Where do you actually turn Gmail on?
In Settings, in the section that lists connected apps, by clicking Connect next to Gmail and signing in with Google. OpenAI's help centre describes the path as Settings, then the connectors area, then Connect on the application you want. The section has been renamed as the feature has grown, so look for either wording.
After the Google sign-in you land on Google's permission screen. That screen, not the app's marketing page, is the accurate description of what is being granted. Read it once. It is the only place the access is described by the party that enforces it.
Connecting Gmail to ChatGPT
- Check you are on a paid plan — Connected apps are a paid-plan feature. If you are on the free tier, the Gmail option will not appear no matter how long you look for it, and the interface does not tell you that is why.
- Check your region — Connectors have not been available in the EEA, the United Kingdom or Switzerland, which catches out a lot of European users on paid plans. Availability moves feature by feature, so the fastest test is whether the option appears in your own Settings.
- Open Settings and find connected apps — Go to Settings and look for the connectors or apps section. OpenAI documents the path as Settings, then connectors, then Connect on the application.
- Click Connect on Gmail and sign in with Google — You are redirected to Google to sign in and approve. Use the exact account whose mailbox you want reachable, because the grant applies to that account only.
- Read the Google permission screen — This is where read access, and anything beyond it, is spelled out. If the list surprises you, stop before Allow rather than after it.
- Test with one verifiable question — Ask it to find the last email from a named person, or to summarise a thread you already know well. A correct answer proves the connection, a vague one usually means it has not indexed yet.
There is one behaviour here that has no equivalent in a simple read-only connection, and it deserves a section of its own. When you connect a Google app, OpenAI documents that ChatGPT may create an indexed copy and sync the content from that app. That is not the same as reading a message when you ask about it.
What is the indexed copy, and why should you care?
It is a synced copy of your content held to make answers faster and more relevant. OpenAI's data controls documentation states that connecting a Google app may create an indexed copy and sync the content, that with Memory enabled this synced content may be used to personalise ChatGPT, and that when you disconnect the app the indexed copy is deleted within 30 days.
Read that last part again, because it changes what disconnecting means. Removing access stops new syncing immediately, but the copy already made has a deletion window rather than an instant off switch. If you are handling client data or anything under contract, that is the sentence to take to whoever signs off on your tooling.
| Model | How it reads | What disconnecting does |
|---|---|---|
| Ask and fetch | Pulls only the messages your question needs, at the moment you ask | Access ends and there is nothing kept to delete |
| Sync and index | Builds a searchable copy in advance so answers are faster and broader | Syncing stops, and the stored copy is removed on the provider's stated timeline |
Neither model is wrong. Indexing is why a synced connector can answer sweeping questions across months of mail quickly. The point is to know which one you signed up for, because your answer to a client asking where their data sits depends on it.
Can it send email, or only read it?
Reading and searching are the documented core, and sending has been the moving part. Third-party guides published this year consistently describe sending one message at a time with your approval, without batch sending and without attachments through the Gmail app. We could not confirm those specific limits on OpenAI's own help pages while writing this, so treat them as reports to verify in your own account.
One thing is not in dispute. It acts when you prompt it inside a conversation. It does not sit on your inbox, watch mail arrive, and act on its own. Every useful thing it does starts with you opening a chat and typing.
That is the honest ceiling of every chat connector, and the reason a different product category exists. At Sistava, the mailbox is connected to an AI Employee that has a job description and a schedule, so triage happens whether or not you opened anything this morning.
You can feel this within a week of connecting. The summaries are genuinely good, the search is better than Gmail's, and yet your unread count is unchanged, because nothing happens unless you go and ask for it. The tool got better. The habit did not.
The shift is small to describe and large to live with. Instead of typing a request, you write the standing instruction once: what to flag, what to draft, what to never touch, and when to check. Then the work shows up done, with a note about what was skipped and why. The list of what an AI Employee at Sistava can be given is worth reading before you decide the inbox is the only job you have.
How do you disconnect and check what is still connected?
Disconnect inside ChatGPT's connected apps settings, then confirm on Google's side. Your Google account has a page listing every third-party app with access, and Google documents that once you revoke a linked app's access it can no longer reach your data, though you may need to contact the developer to ask them to delete data they already hold.
- Disconnect in the app. Open Settings, find the connected apps list, and disconnect Gmail there first.
- Revoke on Google. Open your Google account's connections page and remove the app's access, which holds even if you stop using the app entirely.
- Note the deletion window. OpenAI states the indexed copy is deleted within 30 days of disconnecting, so the calendar matters if you are answering to a client or an auditor.
- At work, check the admin view. Google Workspace administrators can review third-party app access from the Google Admin console's API controls, which is where an organisation sees the whole picture rather than one person's account.
What this will not solve
It will not reduce the number of emails you have to deal with. It makes each one faster to understand and reply to, which is real, but the queue is untouched because nothing is working it between your visits.
It also will not hold your policy. Every time you want the same rule applied, you restate it. Chat has no memory of your standards in the way a colleague does after two weeks, so consistency is your job, and consistency is exactly the thing humans are worst at when they are busy.
If the mailbox work is recurring, that is the point to look at hiring for it instead of prompting for it. You can see what that costs on the Sistava pricing page before you connect anything, so the decision is about the work rather than about a menu.
FAQ
Why can I not see the Gmail option in ChatGPT?
Three usual causes. You are on the free tier, where connected apps are not available. You are in a region where connectors have not been offered, which has included the EEA, the United Kingdom and Switzerland. Or you are on a work account where an administrator has not approved third-party app access. The interface does not distinguish between them, so check your plan, then your region, then your admin.
Does ChatGPT keep a copy of my emails?
OpenAI documents that connecting a Google app may create an indexed copy and sync the content to give more relevant answers, and that with Memory enabled this synced content may be used to personalise ChatGPT. When you disconnect the app, OpenAI states the indexed copy is deleted within 30 days.
Can ChatGPT send emails from my Gmail?
Reading and searching are the documented core of the Gmail app. Sending has been reported by third-party guides as one message at a time with your approval, without batch sending or attachments. We could not confirm those specific limits on OpenAI's own help pages this session, so check what your account actually offers before you build a habit on it.
Do I need a paid plan?
Yes. Connected apps are a paid-plan feature and the free tier does not support them. If you are on a work plan, an administrator may also need to allow the app before it appears for you.
Will it watch my inbox and reply automatically?
No. It acts when you prompt it in a conversation. There is no rule that fires when mail arrives and no queue worked while you are away. For automatic triage and follow-ups you need something that runs on a schedule with standing instructions, not a chat window with mailbox access.
How do I fully remove access?
Disconnect the app inside ChatGPT's settings, then open your Google account's connections page and remove access there as well. Google notes that revoking stops future access but that you may need to contact the developer to request deletion of data they already have.
If you are still deciding whether the access is worth it, the useful next question is not how to connect but what the connection actually buys you day to day. That is a shorter list than most articles suggest, and knowing it up front saves a lot of disappointment.
The pattern across everyone we speak to is the same. The connector earns its place for search and summaries, then the actual clearing of the inbox drifts back to being done by hand, because the tool only exists in the minutes you are looking at it.
That is not a flaw in the connector. It is what a chat assistant is. The moment your requirement becomes every weekday morning rather than right now, you are describing a role, and roles are filled rather than prompted.
