Connect Gmail to Outlook: Setup, Passwords, and AI
How-to — — by Mahmoud Zalt
Add a Gmail account to Outlook with Google sign-in, learn when an app password is needed, and what AI can and cannot do with the account after.
Half the guides for this are years out of date, which is why people end up in Gmail's settings hunting for an IMAP checkbox that is no longer there. The modern version of this setup is shorter than the old one and involves less fiddling, as long as you know which two pieces of old advice to ignore.
The first outdated instruction is enabling IMAP. Google removed that choice: from January 2025 the option to enable or disable IMAP is gone and IMAP access is always on, with existing client connections unaffected. The second is your password, which we will come back to, because it is the step that goes wrong most often.
How do you add a Gmail account to Outlook?
Through the account settings in whichever Outlook you have, and the two versions differ. Microsoft documents classic Outlook as File, then Add Account, entering the address and selecting Connect. New Outlook is View, then View settings, then Accounts, then Your accounts, then Add Account, where your Gmail address may already be waiting in a Suggested account list.
Both paths end at the same place: a Google sign-in window, then a Google permissions window where you select Allow, then Done. That Google screen is the meaningful step. It is Google, not Microsoft, deciding what Outlook is allowed to do with the mailbox.
Adding Gmail to Outlook on Windows
- Work out which Outlook you are in — New Outlook and classic Outlook have different menus, and following the wrong guide is the most common reason people cannot find Add Account. If your settings open from a View tab, you are in new Outlook.
- New Outlook: open the accounts list — Microsoft documents View, then View settings, or File and Account info. From there choose Accounts, then Your accounts, then Add Account.
- New Outlook: pick the suggested account — Select your Gmail address from the Suggested account dropdown and choose Continue, then follow the prompts.
- Classic Outlook: File, then Add Account — Enter your Gmail address and select Connect. Outlook opens the Gmail sign-in window, where you confirm the address you are adding and select Next.
- Sign in with Google and select Allow — Enter your Google credentials in Google's own window, then select Allow on the Google account permissions screen. Select Done when Outlook confirms the account is set up.
- Check that mail syncs both ways — Your mail is set up over IMAP, so actions in Outlook such as deleting or moving a message are reflected back in Gmail. Move one test message and confirm you see it change in Gmail before you trust it.
Now the password. If Outlook asks for one and your normal Gmail password is refused, Microsoft's guidance for classic Outlook is that you may need two-step verification turned on and an app password generated for Outlook to use. Microsoft also advises against turning on access for less secure apps, which is the piece of advice most old blog posts get wrong.
Do you still need an app password for Gmail?
Only as a fallback, and less often than the internet suggests. Google has moved away from anything that involves handing your account credentials to another app. Its help pages state that Gmail no longer supports third-party apps or devices that require you to share your Google username and password, and point you to Sign in with Google instead.
For Google Workspace accounts the door closed on a date. From 1 May 2025, Workspace accounts no longer support less secure apps or third-party apps and devices that ask you to sign in with your username and password, and OAuth must be used instead. If a guide tells you to enable less secure app access, it is describing a setting that is not there any more.
| Old instruction | Current position |
|---|---|
| Turn on IMAP in Gmail settings first | Since January 2025 the enable or disable IMAP option is gone and IMAP access is always on |
| Enable access for less secure apps | Google Workspace accounts stopped supporting less secure apps on 1 May 2025, and Microsoft advises against enabling it |
| Paste your Gmail password into Outlook | Use the Google sign-in and Allow flow. An app password is a fallback for classic Outlook if the sign-in is refused |
Keep this framing and the whole thing gets simpler. Modern mail setup is a sign-in with a permissions screen, not a credential you copy around. Any instruction that involves your actual password travelling somewhere is either legacy or a bad idea.
Will AI features work on a Gmail account inside Outlook?
That depends on your Microsoft licence and account type, and it is the question people arrive at within a day of finishing the setup. Adding the mailbox is a mail sync arrangement. Which assistant features light up on it is a separate matter decided by what you are paying Microsoft for, so check Microsoft's own documentation for your plan rather than assuming it follows the mailbox.
The wider point is that this is now three separate decisions rather than one. Where you read your mail, which assistant your client offers, and whether anything works your inbox when you are not reading it. People merge the three and end up disappointed by whichever one they picked.
The third decision is the one that changes your day. An assistant inside a mail client helps while you are in the client. Something like Sistava connects to the mailbox itself, which means the client you happen to prefer stops being part of the equation.
That distinction matters most for people who moved to Outlook precisely because their inbox got heavy. Changing the window you read mail in does not reduce the volume. Putting someone on the queue does, and an assistant hired at Sistava works from clear standing instructions with an approval step before anything is sent, whichever client you happen to read mail in.
How do you remove Outlook's access later?
Remove the account in Outlook, then check the Google side as well. Your Google account keeps a page listing every third-party app with access, and Google documents that once you revoke a linked app's access it can no longer reach your data, though you may need to contact the developer to ask them to delete data they already have.
- In Outlook. Open the accounts list you used to add it and remove the Gmail account from the client.
- In your Google account. Open the page listing apps connected to your account and remove access, which is the authoritative side.
- If you created an app password. Delete it too. An unused app password is a credential still sitting there with nobody watching it.
What this setup will not fix
It will not make your inbox smaller. Moving Gmail into Outlook changes the window and the keyboard shortcuts. The same number of people are waiting on the same number of replies, and now they are arriving in a different font.
It also does not give you anything that works while you are away. Both clients are places you go. Neither has a view of what you failed to answer last week, and neither will follow up with the supplier who has gone quiet.
If you want to sanity check what an AI writes before you connect it to anything at all, there are free tools you can try without an account at Sistava. Paste in a difficult email, see what comes back, and judge the quality before you make any decision about access.
FAQ
Do I need to enable IMAP in Gmail before adding it to Outlook?
No. Google removed the choice. From January 2025 the option to enable or disable IMAP is no longer available, IMAP access is always turned on, and existing connections to other email clients were not affected. Any guide that starts with enabling IMAP is out of date.
Why is Outlook rejecting my Gmail password?
Because you should usually not be typing it. The current flow signs you in through Google's own window and finishes with Allow on a permissions screen. Microsoft notes that if classic Outlook does refuse your password you may need two-step verification enabled and an app password generated for Outlook to use, and it advises against enabling access for less secure apps.
Is Gmail in Outlook set up over IMAP or POP?
IMAP for the standard flow, which means the mailbox syncs rather than downloads. Microsoft notes that actions you take in Outlook, such as deleting or moving a message, are reflected back in Gmail, and that your mail stays consistent across devices.
Do the AI features in Outlook work on a connected Gmail account?
That depends on your Microsoft licence and account type, so check Microsoft's documentation for your specific plan. Adding the mailbox and unlocking assistant features are two separate things, and one does not automatically bring the other.
Will an AI assistant still reach my mail if I use Outlook?
If it connects to the Gmail account itself rather than to a mail client, yes, and which client you read mail in stops mattering. Access is granted through a Google sign-in and shows up in your Google account's list of connected apps, where you can remove it at any time.
How do I completely disconnect Gmail from Outlook?
Remove the account in Outlook, then open your Google account's connections page and revoke access there. If you generated an app password for Outlook, delete it as well. Google notes that revoking stops future access but that you may need to contact the developer about data already held.
Calendar is usually the next thing people want joined up, and it has its own quirks that are worth reading about before you start clicking. The mailbox and the calendar are not always granted together, and the difference matters if you want scheduling handled.
Once mail and calendar are both reachable, the interesting question stops being about clients entirely. It becomes whether anybody is responsible for the queue between the moments you sit down to look at it, because that is where the hours actually go.
For most solo founders and small teams the honest answer is no, nobody is. The mail piles up, the follow-ups slip, and the client you chose has nothing to do with any of it. That is a staffing problem wearing a software costume.
