How to Automate Emails in Gmail: Filters and Templates

How-to — — by Mahmoud Zalt

Set up Gmail filters, templates, schedule send and auto replies step by step, then see exactly where Gmail's own automation stops and what to do instead.

You open Gmail and there are 84 unread. Maybe six matter. The rest are receipts, alerts, newsletters and the same three questions you answered last week in almost the same words. The reading is not the hard part, the sorting and the retyping is.

Gmail can take a real bite out of that, and most people never turn any of it on. This guide walks the four native features in order, with the exact clicks, then draws an honest line around what they cannot do so you do not waste a weekend trying to make a filter behave like an assistant.

What can Gmail actually automate on its own?

Four things, all free and all built in. Filters act on mail as it arrives. Templates store a message body you reuse. Schedule send holds a message until a time you pick. The vacation responder sends one automatic reply while you are away.

That is the whole native set. Everything else people call Gmail automation is an extension, a Google Apps Script, or a separate tool wired in through the Gmail API. Start with the four, because they cover more ground than you would guess and they never break when a third party changes its pricing.

How do I create a filter in Gmail?

Open the search box at the top of Gmail, click Show search options, type your criteria, then click Create filter at the bottom of the search window. Tick the actions you want and click Create filter again. Google also lets you start from a message you already have.

The second route is faster when the example is sitting in front of you. Tick the checkbox next to the email, click More, then click Filter messages like these. Gmail pre fills the criteria from that message and you only adjust what is wrong.

Creating a Gmail filter, step by step

  1. Open the search options — In the search box at the top of Gmail, click Show search options. You get fields for From, To, Subject, words included, words excluded, size, date and whether the message has an attachment.
  2. Describe the mail you mean — Fill in only the fields that identify this stream reliably. A sender domain is usually stronger than a subject line, because subject lines change and senders rarely do.
  3. Click Create filter — The link sits at the bottom of the search window. If you want to check your criteria first, run the search once and look at what comes back before you turn it into a rule.
  4. Choose what happens — Google lists actions including sending the mail to a label, archiving it, deleting it, starring it, and forwarding it automatically. Tick as many as apply.
  5. Apply it to what is already there — There is a checkbox to also apply the filter to matching conversations already in your mailbox. Use it, or your new label starts empty and only fills over the coming weeks.
  6. Click Create filter to save — To change it later, go to Settings, then See all settings, then Filters and Blocked Addresses, and click Edit or Delete next to the rule.

One catch worth knowing before you build a forwarding rule. Gmail Help states that when you create a filter to forward messages, only new messages are affected. Older matching mail stays where it is, so a forwarding filter can look broken on day one when it is working perfectly.

If you ever want your rules somewhere else, that same Filters and Blocked Addresses page has an Export link at the bottom that hands you an XML file. It is the quickest way to move a mature filter set to another account, or to keep a copy before a big cleanup.

How do I save and reuse an email template in Gmail?

Templates are off by default. Turn them on at Settings, then See all settings, then Advanced, then click Enable next to Templates and Save Changes. After that you save any draft as a template from the More options menu inside the compose window.

Setting up Gmail templates

  1. Enable the feature — Settings, then See all settings, then Advanced. Click Enable next to Templates, then Save Changes at the bottom of the page.
  2. Write the message once — Click Compose and type the version you want to keep. Leave obvious blanks where a name, date or number goes, so you notice them before sending.
  3. Save it — At the bottom of the compose window click More options, then Templates, then Save draft as template, then Save as new template. Give it a name you will recognise in a list.
  4. Use it — In any compose or reply window, click More options, then Templates, then pick your template under Insert template.
  5. Be careful deleting — Gmail Help notes that after you delete a template you cannot recover it. Copy the text into a note first if you are unsure.

Templates pair well with filters. Label an incoming stream automatically, then work that label once a day with a template in two clicks. That combination is the closest Gmail gets to answering mail for you without any extra software.

How do I schedule an email to send later in Gmail?

Write the message, then instead of clicking Send, click the down arrow next to the Send button and choose Schedule send. Pick one of the suggested times or set your own. Gmail Help states you can have up to 100 scheduled emails at once.

Two details save you an awkward moment later. Google notes that scheduled emails may go out a few minutes after the time you set, and that they send based on the timezone you were in when you scheduled them. Neither matters for a Tuesday morning follow up, both matter for anything tied to a deadline.

Schedule send is the most underrated of the four because it protects other people's evenings as well as your own. Writing at 11pm and landing at 8:30am is the difference between looking organised and looking like you never stop. On the Gmail mobile apps the same option sits under More at the top right of the compose screen.

How do I set up an automatic reply in Gmail?

Go to Settings, then See all settings, and scroll down the General tab to Vacation responder. Turn it on, set a start and end date, write a subject and message, and click Save Changes. There is a checkbox to send the reply only to people in your contacts.

Google states the reply starts at 12:00 AM on the start date and ends at 11:59 PM on the end date, and that in most cases each person only gets your reply the first time they message you. That last behaviour is the reason a vacation responder does not turn into a loop when two of them meet.

Where does Gmail's own automation run out?

At the point where a decision is needed. A filter matches text and takes an action. It cannot tell an angry customer from a happy one, cannot notice that a supplier just quoted a different price than last month, and cannot write a reply that fits the specific thing being asked.

So the ceiling is predictable. Gmail is excellent at getting mail out of your face and mediocre at getting mail off your plate. Once your filters are tidy and your inbox is quiet, the pile that is left is exactly the pile that needed a human, and it is still all yours.

That gap is what we built for at Sistava. Instead of writing rules, you hire an AI Employee, connect your mailbox, and tell it in plain English what you want handled: triage the overnight mail, draft answers to the questions you always get, flag anything about money or a contract for you personally.

It reads each message the way a capable assistant would, decides what it needs, and writes a reply that quotes the actual details in the thread. You approve, or you tell it which categories it may send on its own once it has earned that. The filters you already built keep working underneath, because good sorting still helps.

What Gmail automation will not fix

Be honest with yourself about three things before you spend an afternoon on this. Automation multiplies whatever system you already have, and if there is no system underneath, filters just move the mess into folders you never open.

A reasonable target is ten to fifteen good filters, three or four templates, and schedule send as a habit. That is maybe ninety minutes of setup and it holds for years. If after that you still spend an hour a day typing replies, the missing piece is not another rule, it is something that can read and write, which is the job an AI Employee from Sistava does.

FAQ

Can Gmail automatically reply to emails for me?

Only in one way natively. The vacation responder sends a single automatic reply to each person who writes to you during a date range you set, and you can restrict it to people in your contacts. Gmail has no built in feature that reads an incoming message and writes a specific answer to it, so anything conditional needs an assistant, an extension or a script.

How do I make Gmail sort emails into folders automatically?

Gmail uses labels rather than folders, but the effect is the same. Create a filter from the search box or from an example message, then tick Skip the Inbox to archive it plus Apply the label and pick your label. Tick the option to apply the filter to matching conversations already in your mailbox so the label is not empty on day one.

How many emails can I schedule in Gmail at once?

Gmail Help states you can have up to 100 scheduled emails. It also notes that a scheduled message may be sent a few minutes after the time you chose, and that it sends based on the timezone you were in when you scheduled it.

Why is my Gmail filter not working?

The three usual causes are criteria that are too narrow, an action that does not do what you assumed, and old mail. Run your criteria as a plain search first to confirm it matches the mail you mean. Check whether you needed Skip the Inbox as well as the label. And remember that a forwarding filter only affects new messages, so nothing already in the mailbox will move.

Are Gmail templates and canned responses the same thing?

Yes. Canned responses was the old name for the feature now called Templates. It is still switched off by default, so you enable it at Settings, then See all settings, then Advanced, then Enable next to Templates, and save.

Can I use Gmail for automated email campaigns?

It is the wrong tool for that. Gmail enforces daily sending and recipient limits, has no unsubscribe handling and no deliverability reporting. Use a dedicated sending platform for campaigns, and keep Gmail for the one to one mail where a real reply matters.
