How to Automate Google Analytics Reports and Alerts

How-to — — by Mahmoud Zalt

Schedule GA4 report emails, pull the numbers into Sheets, and set up the alert that tells you when traffic breaks instead of another weekly PDF.

The weekly analytics PDF is one of the most reliably ignored documents in business. It arrives, it has thirty numbers on it, and the person receiving it has no idea which of those numbers is unusual. Unusual is the only interesting property a metric has, and a PDF cannot tell you which ones qualify.

So automate two things, not one. Automate the delivery, because doing it by hand is pure waste, and Google gives you the tools for free. Then automate the noticing, because that is what people actually wanted when they asked for a weekly report in the first place.

Can GA4 email a report on a schedule?

Yes, natively. Open the report you want, click Share this report at the top right, then Schedule email, fill in the fields and save. Google documents daily, weekly, monthly and quarterly frequencies, delivery as a PDF or CSV attachment, and a start date that must fall between tomorrow and one year from today.

There is a same-day version too. Share this report, then Send Email, delivers the report immediately instead of putting it on a schedule, which is handy when someone asks for last month's numbers in a meeting. Everything already scheduled is managed in Admin, under Property, then Scheduled emails, where you can edit or delete it.

RouteWhat you getBest when
GA4 scheduled emailA PDF or CSV of a GA4 report on a set frequencyThe recipients are already users on the property
GA4 Reports Builder for SheetsReport data landing in a spreadsheet you can build onYou need to combine the numbers with anything else
Looker Studio scheduled deliveryA designed report emailed as a PDF on a repeat patternYou want a layout GA4 cannot produce, or external readers
An employee or script watching the dataA message when a number moves, with a reason attachedYou want the exception rather than the full report

How do you set up the scheduled email?

Build the report you want first, because you are scheduling a specific report rather than a general export. Customise the dimensions and metrics until the page shows only what the reader needs, then schedule that. A scheduled version of a cluttered report is a cluttered report that now arrives without being asked for.

Scheduling a Google Analytics report email

  1. Shape the report down to what gets acted on — Strip the metrics nobody has ever mentioned in a meeting. If a number has never changed a decision, it is decoration, and decoration is why reports get skimmed and then skipped.
  2. Check you have admin access — Google states that only administrators can schedule emailed reports. If Schedule email is missing from the menu, that is the reason, and no amount of hunting through settings will produce it.
  3. Open Share this report, then Schedule email — Give it a name that is unique within the property, since that name appears in the email subject line. Pick your recipients, the frequency, the start date, the attachment format and the language.
  4. Set the duration deliberately — Google documents a duration of one to twelve months, defaulting to twelve. This is the field people forget, and it is why a report can simply stop arriving a year later with no error and no explanation.
  5. Send one immediately and read it as a recipient — Use Send Email once and open the result on a phone. Most analytics PDFs look fine on a monitor and unreadable on the device people actually check email on.
  6. Record where it is managed — Scheduled emails live in Admin, under Property, then Scheduled emails. Write that down somewhere your team can find it, because the person who created it will eventually leave.

When you need the numbers somewhere you can work with them, Google's own GA4 Reports Builder add-on for Sheets is the cleanest path. You define reports on a configuration sheet with a property, a date range, dimensions and metrics, run them from the add-on menu, and open Schedule reports to set up periodic refreshes of the data.

That route is what you want as soon as a question spans more than one system. Sessions next to spend, signups next to campaign, revenue next to channel. GA4 on its own cannot answer those, and the spreadsheet is where most small teams do the joining without standing up a warehouse.

For anything that needs a designed layout or has to reach someone outside your property, Looker Studio is the usual answer. You open the report, click Share, then Schedule delivery, and choose recipients, pages, a start time and a repeat pattern, with a Custom option for rhythms like every second Friday. It is the same idea as GA4's scheduler with more control over how it looks.

What should an analytics report actually tell you?

Two things: the answer, and the exception. Is traffic doing what we expected, and what changed that we did not expect. A person who reads only those two things has got everything a weekly analytics report is capable of giving them. The other twenty-eight numbers are there to support one of those two sentences, or they should not be there.

The exception is the harder half and the more valuable one. A twenty percent drop in one channel matters. The same drop across the whole site probably means tracking broke, which is a completely different problem with a completely different owner. Knowing which is which requires context that a scheduled attachment does not carry.

Which is why the best analytics setup most small teams can have is not a prettier dashboard. It is a short message that says traffic is broadly flat, organic is up slightly, one landing page lost half its sessions on Tuesday, and here is the likely reason. Three lines, with the report attached underneath as evidence.

That is the job we built an AI Employee to do. A marketing Sistava employee connects to your analytics alongside the other places the answer lives, learns what a normal week looks like for your site, and messages you when something moves outside it, with the reason it suspects. The scheduled PDF can keep arriving. It just stops being the thing you rely on to notice.

What automated analytics reporting will not do

Scheduling is a delivery mechanism, and delivery was never the hard part of understanding your traffic. These are the gaps to plan around, and every one of them has cost somebody a quarter of confused meetings.

If you only do one thing from this article, make it the second bullet. Add a simple check that the numbers are not zero, and make somebody responsible for it. Everything else here is convenience, and that one is the difference between finding out on Tuesday and finding out at the end of the month. If you would rather have that watched for you, Sistava is free to look around before you connect anything.

FAQ

How do I schedule a Google Analytics report by email?

Open the report in GA4, click Share this report at the top right, then Schedule email. Complete the name, recipients, date range and frequency, then save. Google documents daily, weekly, monthly and quarterly frequencies, with the report delivered as a PDF or CSV attachment.

Why can I not see Schedule email in GA4?

Because you are probably not an administrator on the property. Google states that only administrators can schedule emailed reports, and that if you cannot find Schedule email in the menu it may mean you do not have permission to schedule a report. Ask an admin to either grant the access or create the schedule for you.

How many people can receive a scheduled GA4 report?

Up to 50 email addresses per scheduled report, and Google notes you can select any user who has access to the property. That means you cannot add an arbitrary outside address. A property also supports a maximum of 50 scheduled standard and custom reports in total.

Can I schedule the Realtime report?

No. Google's documentation states that you cannot schedule emails for the Realtime report. If you need alerting on live behaviour, that belongs in a monitoring or alerting setup rather than in scheduled analytics reporting.

Why did my scheduled report stop arriving?

Check the duration first. A GA4 schedule is active for one to twelve months with twelve as the default, so it can simply expire. Also check whether a recipient used the unsubscribe link in the email, and whether the report itself was renamed or deleted. Scheduled emails are managed in Admin, under Property, then Scheduled emails.

How do I get Google Analytics data into Google Sheets automatically?

Use Google's GA4 Reports Builder add-on for Sheets. You define each report on a configuration sheet with the property, date range, dimensions and metrics, run them from the add-on menu, and use its Schedule reports dialog to set up periodic refreshes so the spreadsheet updates on its own.
