Fireflies: How to Send Meeting Notes to Your CRM

How-to — — by Mahmoud Zalt

Connect HubSpot or Salesforce to Fireflies, choose what logs against contacts, deals and companies, and push a single meeting manually from the Notepad.

A meeting transcript sitting in a notes tool is an archive. The same transcript attached to the right deal record is a working sales history that the next person can pick up. The distance between those two states is one integration and about fifteen minutes of configuration.

The configuration is where people get caught, because the defaults decide whether every person who ever dialled into a call becomes a permanent lead in your database. This guide covers the connection, the settings that matter, and the manual route for when you only want to push one meeting.

Which CRMs does Fireflies connect to?

Their documentation on sending notes to a CRM lists HubSpot, Salesforce, Monday CRM, ActiveCampaign, Attio, GoHighLevel, Intercom, Microsoft Dynamics 365, Zendesk Sell, Redtail, and Wealthbox. That is a wider spread than most notetakers cover, and it includes a couple of vertical CRMs that sales tools often skip.

The two with the deepest documented configuration are HubSpot and Salesforce, so those are the ones this guide works through. The general shape holds for the others: connect, authorise, decide what logs where.

How do you connect HubSpot to Fireflies?

Go to the Integrations page inside Fireflies, find HubSpot, and click Connect. You are sent to HubSpot to sign in, possibly with a one-time code, then shown the permissions Fireflies is requesting. Tick the confirmation box, approve the app, and you land back in Fireflies to configure the behaviour.

Fireflies then asks which direction you want. One mode pulls recordings from HubSpot so calls made through the HubSpot dialer get transcribed and summarised, and their documentation says that needs no further setup. The other mode sends your Fireflies meeting data into HubSpot, and that is the one with the settings worth reading properly.

Which HubSpot settings actually matter?

Four of them change what your database looks like in a month. The rest are refinements. Fireflies documents the configuration in named steps, and these are the decisions inside it.

There are also toggles for sending output to contacts, sending output to leads, logging to the associated company, and a fallback that logs notes to the notetaker when no contact is found. Deal pipeline logging requires you to pick a pipeline and stage, and their documentation notes those have to exist in HubSpot before you can select them.

Where does the data actually appear in HubSpot?

On the contact record, in the activity timeline, as notes and summaries with call logs and a link through to the full transcript. If you enabled company logging, the same notes appear in the company's activity feed. With pipeline logging on, the activity shows on the associated deal.

Action items surface as HubSpot tasks assigned to the right person, which is the part sales managers care about most. It is the difference between a summary that says someone agreed to send pricing and an actual task with a name against it.

How does Salesforce differ?

The pattern is the same and the objects are Salesforce's. Their integration page describes meeting transcripts, summaries, and action items syncing to Leads, Contacts, and Opportunities, with new leads created automatically for participants or notes logged only against contacts you already hold.

The Opportunity association is the useful part for a sales team. Meeting insights attach to open opportunities, so the deal record accumulates the conversation history rather than the history living in one rep's notes tool. Their page also mentions a resync capability for bringing historical meeting data across.

Setup is the four steps you would expect: sign in, open Integrations, authorise Salesforce, configure the sync settings. Their page points to the help centre for the detailed configuration, so read that before you switch on lead creation.

Push a single meeting to your CRM by hand

  1. Make sure the meeting has been processed — Fireflies requires the meeting to have been recorded or uploaded, and the recap and notes to have been generated. A call that finished thirty seconds ago will not be ready yet.
  2. Open the meeting from the Meetings tab — Log into Fireflies, go to Meetings, and open the one you want to send. You are now in the Notepad view for that meeting.
  3. Open the integrations dropdown — Click the dropdown menu icon at the top right of the Notepad. It lists the CRM platforms available to you.
  4. Read the connection state — Fireflies marks a connected integration with a green checkmark and one that still needs setup with a plus sign. If yours shows a plus, authenticate it first.
  5. Hover the CRM and choose Send Notes — Hovering your CRM in that list reveals Send Notes, alongside Configure if you want to adjust the rules. Their documentation notes that no configuration is strictly required for the basic manual send.
  6. Confirm the record and send — Review the recipient details Fireflies shows you, then confirm. This is your last chance to catch a note heading for the wrong contact, so read it rather than clicking through.

The manual route is genuinely handy. It lets you run automatic logging narrowly, for example only against existing contacts, and then push the occasional exception by hand rather than widening the rules for everyone.

What are the limits worth knowing before you commit?

Two are plan-related and documented. Saving meeting transcripts to HubSpot requires the Pro plan or higher, and Integration Rules, the conditional logic layer over the integration, is documented as Business or higher. Fireflies listed Pro at ten dollars per seat per month billed annually and Business at nineteen on its pricing page on 17 August 2026, though prices change and their page is the only reliable source.

The third is structural rather than a plan gate. Because the HubSpot transcript arrives as a link, anything you wanted to do with transcript text inside the CRM, searching it, reporting on it, feeding it to another tool, needs a different path.

The fourth is the one nobody documents, because it is a workflow question rather than a product one. A logged note is not a moved deal. The record is now accurate, and the follow-up email, the pricing document, and the next call still sit with a human. This is precisely the gap we built Sistava for: rather than routing notes to the right record and hoping someone acts on them, you hire an AI Employee, tell it in plain English what should happen after a sales call, and it does that work.

What should you set up on day one?

Start conservative. Turn on logging only against contacts that already exist, enable summaries, and leave automatic lead creation off until you have watched a week of real meetings flow through. You can always widen it.

Then turn on task creation from action items, because that is the single setting that converts a passive record into something with momentum. Watch the first handful of tasks it creates and check they are assigned to the person you would have assigned them to.

Credit where it is due: Fireflies has done the integration work properly here. The configuration is granular, the destinations are explicit, and the manual push exists for the cases that automation should not cover. The care is worth matching with care on your side.

FAQ

Does Fireflies push the full transcript into HubSpot?

No. Their documentation states that Fireflies adds a link to the transcript rather than pushing the transcript text into HubSpot, so users open the full transcript back in Fireflies. Notes, summaries, call logs, and action items do go across. Plan accordingly if you expected to search transcript text from inside the CRM.

How do I stop Fireflies creating a CRM record for every meeting participant?

Turn off the option that creates meeting participants as leads, and turn on the option that only logs meeting data if the contact or lead already exists in the CRM. Together those keep logging tight to people you already track. This is the configuration most small teams want, and it is much easier than cleaning up afterwards.

Can I send just one meeting to my CRM instead of all of them?

Yes. Open the meeting from the Meetings tab, click the dropdown menu icon at the top right of the Notepad, hover over your CRM, and choose Send Notes. Fireflies notes that no configuration or setup rules are required for this basic manual send, as long as the integration itself is connected and the meeting notes have been generated.

Which CRMs does Fireflies support?

Their documentation on sending notes to a CRM lists HubSpot, Salesforce, Monday CRM, ActiveCampaign, Attio, GoHighLevel, Intercom, Microsoft Dynamics 365, Zendesk Sell, Redtail, and Wealthbox. HubSpot and Salesforce have the most detailed configuration documented. Check their integrations page for the current list, since integrations are added over time.

Do I need a paid Fireflies plan for CRM integration?

Some parts of it. Fireflies documents that saving meeting transcripts to HubSpot requires the Pro plan or higher, and that Integration Rules are available on Business or higher plans. Their documentation does not gate the basic CRM connection itself in the same way. Check their current pricing page before you plan around any of this.

Will meeting action items become tasks in my CRM?

In HubSpot, yes, if you enable the setting that creates tasks from meeting action items. Fireflies documents that detected action items appear as HubSpot tasks assigned to the relevant person. Their Salesforce integration page similarly describes automatically generated tasks for follow-up. Watch the first few closely to confirm the assignment logic matches how your team works.
