Otter.ai: How to Share and Export Meeting Transcripts
How-to — — by Mahmoud Zalt
Export a transcript as TXT, DOCX, PDF or SRT, share it with the right permission level, and bulk export a whole folder without losing anything.
A transcript that lives only inside Otter is not much use to the person who missed the call. Getting it out, or getting them in, is a five click job once you know which of the two you actually want.
Exporting gives you a file you own, which is what you want for a legal record, a client deliverable or subtitles. Sharing keeps the transcript inside Otter with playback and comments attached, which is what you want for a colleague who will actually work with it.
How do you export a single Otter transcript?
Open the conversation, click the three dots in the top corner, and select Export. Otter then shows you the format choices and a live preview of what the exported text will look like before you commit.
Export one conversation
- Open the conversation — Find it in My Conversations, or in Shared with Me if someone sent it to you.
- Open the export menu — Click the three dots in the top corner, then select Export.
- Pick a format — Choose Clipboard, TXT, DOCX, PDF or SRT. On the free Basic plan, TXT is the only text format available.
- Set the options — Decide how the file is named and toggle what goes in it. A preview of the result appears below the options.
- Export — Click Export and choose where to save the file.
The format choice matters more than people expect, so it is worth knowing what each one is actually for rather than defaulting to PDF every time.
| Format | What it gives you | Good for |
|---|---|---|
| Clipboard | Copies the text straight to your clipboard | Pasting into an email or doc, only available when highlights, comments and audio are toggled off |
| TXT | Plain text with no formatting | Feeding another tool, and the only text format on the free plan |
| DOCX | A Microsoft Word document | Editing and marking up before you send it on |
| A fixed document | Sharing a version nobody will accidentally change | |
| SRT | Text with timestamps in SubRip subtitle format | Video captions on platforms such as YouTube |
Underneath the format there is a set of toggles that quietly decide whether the file is readable. Otter lists options to show speaker names, show timestamps, show highlights, show images, combine paragraphs from the same speaker, and combine all paragraphs.
There is also an option to remove Otter branding, which their documentation says is available for the TXT and Clipboard formats. If you are sending a transcript to a client, turn timestamps off and combine same speaker paragraphs, and the wall of text becomes something a person can read.
What cannot be exported?
Not everything in a conversation comes out as a file. Otter's documentation is direct about this, and it is the sort of thing you want to discover before a deadline rather than during one.
- The summary can be exported. Otter documents that you can export the full conversation summary.
- The outline cannot be exported as a file. Otter's workaround is to copy the full summary and pull the outline items out of it.
- Action items cannot be exported directly. They have to be copied by hand, which is a real friction point if action items are the whole reason you record.
- Shared conversations depend on permissions. If a conversation was shared with you, only Collaborators, or Viewers whose export was enabled by the owner, can export it.
That last one explains most of the "why can I not export this" confusion. The block is not your plan, it is the permission the other person gave you.
How do you bulk export many conversations at once?
Bulk export exists, but Otter's documentation states it is only available on the Business and Enterprise plans. On the web it produces a ZIP file that arrives by email rather than downloading straight away.
Bulk export from a browser
- Go to the right place — Open My Conversations, a Channel, a Direct Message or the folder holding the transcripts you want.
- Load everything first — Scroll down so all the conversations you want are loaded on the page. Select all only picks up what is currently loaded.
- Select conversations — Tick the checkboxes. Otter notes the Select all option does not appear until you have selected at least one conversation.
- Click the export icon — It sits at the top of the list once a selection exists.
- Choose formats and settings — Pick the format or formats and any extra settings, then click Export.
- Wait for the email — Otter emails you a link to download a ZIP containing the transcripts once it is ready.
Two documented quirks are worth remembering. Bulk exporting audio is not available in Channels or Direct Messages, although you can still export audio from an individual conversation page. And Otter warns that ad blockers can stop exports working properly, which produces a failure that looks like a bug in the app.
How do you share a transcript with someone?
Open the conversation and click Share in the upper right corner. You add people by email, by searching a name, or by picking a Channel, and you set a permission level for each one before you send it.
Otter offers two permission levels, and the difference is bigger than the names suggest.
| Collaborator | Viewer | |
|---|---|---|
| View and play back | Yes | Yes |
| Edit the transcript | Yes | No |
| Export | Yes | Only if the owner enables it |
| Ask Otter Chat questions about it | Yes | No |
| Edit, add and view Takeaways | Yes | No |
| Share it onward | Only if the owner enables it | No |
The owner controls two switches that change what those roles can do: whether collaborators can share the conversation and change sharing permissions, and whether viewers can export. Both live in the sharing dialog.
Sharing to a Channel is the one to think twice about. Otter documents that everyone in the Channel gets access, including people added to that Channel later. A client call shared to a broad internal Channel keeps getting broader without anyone deciding it should.
What about a shareable link?
You can generate a URL instead of naming people. Click the Restricted dropdown in the share dialog, choose the access level, use the gear icon for the extra sharing and export settings, then copy the link.
- Anyone in your workspace. Workspace members can open it, and you choose whether they land as Collaborator or Viewer.
- Anyone with the link. Defaults to Viewer. Otter documents that people can view and play back without signing in, and can see highlights and inline images, but not Takeaways.
- Restricted. Only the specific people or Channels you shared with can open it, even if the link leaks.
Otter notes that changing this later updates existing URLs to match, so you can tighten a link you already sent. That is genuinely useful and not something every tool does.
A snippet also always shows the title "Note" rather than your conversation title, and you cannot build one from two separate parts of the transcript. It has to be a single highlighted stretch.
The step after the export
Look at what the whole exercise produced. You have a DOCX in your downloads folder, a link in a message to two colleagues, and an action item you copied by hand into somewhere else because it could not be exported. The record moved. Nothing else did.
That copying step is exactly what we removed at Sistava. Instead of exporting a transcript and then relaying it, you hire an AI Employee and tell it in plain English what should reach whom: send the client a clean recap, log the two commitments against the deal, and remind you on Thursday if the reply has not arrived. It has the tools connected already and asks you when it is unsure.
That is not a criticism of Otter's export tooling, which is thorough and gives you more control over the output file than most transcription tools bother with. It is just a different job. If what you need is a clean, correctly formatted file, the steps above will get you one.
FAQ
Why can I only export as TXT in Otter?
Otter's Export conversations help page states that Basic plan users can export conversations only as TXT files, and that upgrading to a paid plan gives access to the other formats and to additional export settings. If you are on a paid plan and still only see TXT, check whether the conversation was shared with you rather than owned by you.
How do I export all my Otter transcripts at once?
Use bulk export, which Otter documents as available on the Business and Enterprise plans. Select the conversations with checkboxes and click the export icon. Otter emails you a link to a ZIP file. Note that Select all only selects what is loaded on the current page, so scroll to load everything before selecting.
Can someone view an Otter transcript without an Otter account?
It depends on how you share it. Otter documents that with a link set to anyone with the link, people can view and play back the conversation without signing in. If you share directly with an email address that has no Otter account, that person will need to create an account before they can open it.
What is the difference between a Collaborator and a Viewer in Otter?
A Collaborator can edit, view, play back and export the transcript, ask Otter Chat questions about it, and work with Takeaways. A Viewer can only view and play back. Viewers cannot edit, add or view Takeaways, and can only export if the owner has enabled export for viewers.
Can I export Otter action items?
Not directly. Otter's documentation says action items cannot be exported as a file and have to be copied manually. The same applies to the outline, although the full summary can be exported and the outline items can be pulled out of a copy of it.
Can I undo an Otter snippet link?
No. Otter's help page carries an explicit warning that when you create a shared link to a conversation snippet, you cannot restrict or revoke that link. If you need the option to withdraw access later, share the full conversation with a restricted link instead.
